📄 Job Description

This role is integral to the execution of world-class events, supporting everything from logistics and vendor coordination to budgeting and documentation. You will be at the heart of global events, supporting the planning and delivery of high-profile, international gatherings that leave a lasting impression. Your responsibilities will include:
  • Event & Logistics Support: Assist in coordinating international events from planning through execution, liaising with venues, vendors, and stakeholders to ensure timely service delivery, and monitoring timelines to align with event goals.
  • Finance & Budget Management: Track and manage event-related expenses, process invoices, manage vendor payments, and support budget reconciliation and reporting.
  • Administrative Support: Manage calendars, schedule meetings, and coordinate travel logistics for various stakeholders.
  • Documentation & Reporting: Prepare comprehensive reports, presentations, and event-related documentation, while meticulously tracking contracts, itineraries, and event files.
  • Internal & External Communication: Serve as a key liaison between the Global Event Manager, internal teams, and external vendors, ensuring seamless communication.

📌 Requirements

We are looking for a highly motivated individual with a passion for global events and the following qualifications:
  • Minimum of 3+ years of experience in executive assistance, corporate event support, or finance-related roles.
  • Willingness and availability to travel internationally when required.
  • Demonstrated strong organizational skills and the ability to effectively manage multiple projects simultaneously under tight deadlines.
  • Excellent communication and interpersonal abilities, particularly when operating under pressure.
  • A solid grasp of budgeting principles, invoicing processes, and expense management.
  • Proficiency in Google Suite, Microsoft Office, and overall strong technical savviness.
  • Fluency in both English and Spanish (spoken and written) is essential for this international role.
  • A strong preference for candidates based in the LATAM region due to event logistics and time zone alignment, though exceptional candidates worldwide are encouraged to apply.
