📄 Job Description
- Event & Logistics Support: Assist in coordinating international events from planning through execution, liaising with venues, vendors, and stakeholders to ensure timely service delivery, and monitoring timelines to align with event goals.
- Finance & Budget Management: Track and manage event-related expenses, process invoices, manage vendor payments, and support budget reconciliation and reporting.
- Administrative Support: Manage calendars, schedule meetings, and coordinate travel logistics for various stakeholders.
- Documentation & Reporting: Prepare comprehensive reports, presentations, and event-related documentation, while meticulously tracking contracts, itineraries, and event files.
- Internal & External Communication: Serve as a key liaison between the Global Event Manager, internal teams, and external vendors, ensuring seamless communication.
📌 Requirements
- Minimum of 3+ years of experience in executive assistance, corporate event support, or finance-related roles.
- Willingness and availability to travel internationally when required.
- Demonstrated strong organizational skills and the ability to effectively manage multiple projects simultaneously under tight deadlines.
- Excellent communication and interpersonal abilities, particularly when operating under pressure.
- A solid grasp of budgeting principles, invoicing processes, and expense management.
- Proficiency in Google Suite, Microsoft Office, and overall strong technical savviness.
- Fluency in both English and Spanish (spoken and written) is essential for this international role.
