📄 Job Description
- Event & Logistics Support: Assisting in the coordination of international events from planning through execution, liaising with venues, vendors, and stakeholders, and monitoring timelines to ensure logistics align with event goals.
- Finance & Budget Management: Tracking and managing event-related expenses, processing invoices, managing vendor payments, and supporting budget reconciliation and reporting.
- Administrative Support: Managing calendars, scheduling meetings, and coordinating travel logistics for the Global Event Manager and other stakeholders. Organizing internal and external meetings, keeping all parties aligned and informed.
- Documentation & Reporting: Preparing comprehensive reports, presentations (decks), and all event-related documentation. Maintaining accurate records of contracts, itineraries, and event files in shared systems.
- Internal & External Communication: Serving as a crucial liaison between the Global Event Manager, internal teams, and external vendors to ensure seamless communication and coordination.
📌 Requirements
- A minimum of 3+ years of experience in executive assistance, corporate event support, or finance-related roles.
- A willingness and availability to travel when required for international events.
- Exceptional organizational skills and the proven ability to manage multiple projects simultaneously in a dynamic environment.
- Excellent communication and interpersonal abilities, crucial for liaising with diverse stakeholders, especially under pressure.
- A solid grasp of budgeting, invoicing, and expense management principles.
- Proficiency in Google Suite, Microsoft Office, and strong general tech-savviness.
- Fluency in both English and Spanish (spoken and written) is required.
